| Minutes of Meeting | Minutes – JOINT BOD MEETING (9th)– 13th June 2023 1. Joint Meeting of the Board of Directors of RY 2022-23 & 2023-24 was held at Hotel Sagar Panvel. 2. Members present for the meeting were welcomed by President. 3. Minutes of the last BOD meeting were read by Secretary Hitesh and approved unanimously. 4. Trust Chairman PP Arvind Sawalekar updated the Board about reopening of Rotary Hearing Impaired School on 15th June 2023 and School's anniversary celebration to be held on 18th July. 5. This being a Joint BOD, meeting was handed over by President Kalpesh to PE Dr. Jay for future business. Requested incoming secretary Rtn. Rhugved to read the minutes of the business hereafter. 6. PE Dr. Jay proposed a revision in club fees to Rs. 18,500 per member per year and dual membership charges proposed to be increased to 10,000 per year. This proposal to be kept for approval in the first meeting of next year's BOD. This hike is suggested due to increase in RI dues and caterer's request to increase the dinner rates. 7. PE Dr. Jay discussed about the installation ceremony to be held on 5th July 2023 at Kakaji ni Wadi. The installation to be preceded by the installation of Inner Wheel and Rotaract clubs’ program. 8. PP Dr. Sampat Sasane has submitted his resignation from club membership due to old age and ill health. PE Dr. Jay to speak to him regarding this. 9. Treasurer Tushar updated that dues of around 3 members are still to be recovered for this year. Expected to be recovered by this weekend. 10. President Kalpesh & PE Dr. Jay to speak to all the members of club to confirm their membership for next year. 11. PE Dr. Jay apprised the Board about incoming projects of the new Rotary year. These include Tree plantation, free medical check-up camp, Turf cricket tournament, Kishor Kumar night, Doctor's Day celebration, etc. 12. PP Aliasgar Vohra proposed a project of Water Harvesting which will be discussed in detail in the coming days. 13. After discussing his visions and plans for the upcoming year, PE Dr. Jay handed over the meeting back to President Kalpesh. 14. President Kalpesh discussed the topic of payments to be done to CA for his fees regarding audited balance sheet & also Rtn. Tushar's outstanding payment of designing and printing of last year's tenure. President informed the Board that if these 2 payments are done from this year's budget, there will be shortfall to keep the designated fund of Rs. 30,000 for the next year's term. PP Dr. Pramod Gandhi suggested that these payments can be done through this year's budget and the balance whatever to be kept for next year's budget. 15. Rtn. Vinod Gurme suggested as RCPIT does have its PAN Card and audited balance sheets, it is recommended that the Club file its IT returns every year. 16. Vote of Thanks presented by PN Charudatta. 17.
